Neuromatch Academy Privacy Notice

Neuromatch Academy, a 501(c)(3) nonprofit corporation ("Neuromatch Academy" or "we"), as a datacontroller, will process personal information collected hereunder in compliance with data protection laws and regulations, in particular the EU General Data Protection Regulation EU/2016/679, as they may be applicable and amended from time to time. This privacy notice applies worldwide to all applicants and participants (“you”) of Neuromatch Academy's summer school program (the “SummerSchool Program”). Neuromatch may update this notice at any time but if we do so, we will provide you with an updated copy of this notice as soon as reasonably practical.

It is important that you read and retain this notice, together with any other privacy notice we may provide on specific occasions when we are collecting or processing personal information about you, so that you are aware of how and why we are using such information and what your rights are under the applicable data protection laws.

Neuromatch Academy will collect and process certain personal information provided directly by you for the following purposes:

  • Recruitment purpose
  • Entering into, executing and performing this agreement (including for payroll purposes, performance reviews, training; and legal disputes)
  • Managing the Summer School Program
  • Research purposes
  • Ensuring network and information security, including preventing unauthorized access to the electronic communications systems and preventing malicious software distribution.

If you fail to provide certain information when requested, Neuromatch Academy may not be able to perform this contract (such as paying you or providing certain benefits), or Neuromatch Academymay be prevented from complying with its legal obligations (such as to ensure the health and safety ofworkers).

Neuromatch Academy will use your personal information where it is necessary to (i) perform this contract, (ii) comply with a legal obligation, or (iii) pursue the legitimate interest of Neuromatch Academy or a third party to the extent your interests and fundamental rights do not override those interests. These legitimate interests include the managing of the Summer School Program and scientific research. To the extent required by applicable law, Neuromatch Academy may also seek to obtain your consent to process your personal information.

Neuromatch Academy will share your personal information with third parties where required by law, where it is necessary to administer the working relationship or where Neuromatch Academy has another legitimate interest in doing so. More specifically, Neuromatch Academy may share your personal information with the following recipients:

  • Third party service providers, such as Google for the provision of IT-related services such as cloud services
  • Participants of the Summer School Program, notably to administer the discussion forum
  • Funding agencies, for the purposes of their payment to you for the Services (as defined in the Independent Contractor Agreement, if you are an Independent Contractor)

Certain of these recipients might not be located in the European Economic Area or a country recognized by the European Commission as providing an adequate level of protection. However, thesetransfers are either made to the United States to an importing entity that is a certified member of the EU-U.S. Privacy Shield or is necessary for the performance of the Independent Contractor Agreement.

Pursuant to certain applicable data protection legislation, Neuromatch Academy must obtain your consent to carry out certain data processing operation. You are informed that Neuromatch Academywill only use consent as a legal basis if it is required to do so by the locally applicable legislation. To extent required by applicable law, you agree that Neuromatch Academy will transfer the following personal information, as described below:

  • First and last name, address, email address, social security number or other equivalent identifier to third-party funding agencies for the purposes of their payment to you for the Services
  • First and last name and email address to other participants of Neuromatch Academy's Summer School Program for participation on a discussion forum
  • First and last name on our publicly accessible website in order to identify Summer School Program participants

Neuromatch Academy will only retain your personal information for as long as necessary to fulfil the purposes Neuromatch Academy collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. To determine the appropriate retention period for personal information, Neuromatch Academy considers the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorised use or disclosure of personal information, the purposes for which Neuromatch Academy processes the personal information and whether Neuromatch Academy can achieve those purposes through other means, and the applicable legal requirements.

You must inform Neuromatch Academy of any change in the personal information provided to Neuromatch Academy.

Under certain circumstances and to the extent you are located in the European Union, by law, you have the right to:

  • Request access to your personal information (commonly known as a "data subject access request")
  • Request correction of the personal information held by Neuromatch Academy
  • Request erasure of the personal information where there is no good reason for Neuromatch Academy continuing to process it
  • Object to processing of the personal information where Neuromatch Academy is relying on a legitimate interest (or those of a third party) and there is something about your particular situation that makes you want to object to processing on this ground
  • Request the restriction of processing of your personal information
  • Request the transfer of your personal information to another party in a structured, commonly-used and machine readable format
  • Right to lodge a complaint with the competent data protection authority
  • Withdraw consent when the processing operation is based on consent
